Ready for registration? The PRS database is coming

The next phase of the Renters' Rights Act 2025 is about to commence with the introduction of the Private Rented Sector (PRS) Database. This requires all private rented sector landlords to register themselves and their rental properties. The database will be introduced on a phased regional basis from 15 December 2026, giving landlords in the relevant region three months to register.

What is the PRS database?

The PRS Database will be a centralised register of residential landlords and rental properties across England for all assured or regulated tenancies. The aim is to create a single national source of information about landlords and rental properties, increasing transparency and compliance within the private rented sector.

The database is intended to assist local authorities in identifying non-compliance and enforcing housing standards. It will also enable tenants and prospective tenants to access certain information about a property and their landlord before entering into a tenancy.

The database will provide local authorities with greater visibility of landlords and rental properties. However, the government has not yet published detailed guidance on exactly what information will be publicly accessible. While tenants will be able to access certain information about landlords and details of the property, it is not expected all information submitted as part of the registration will be publicly available. 

What will landlords need to do?

The PRS Database will be rolled out region by region across England. Once registration opens in their region, landlords will generally have a three-month window to register, although there will be an option to register earlier.

Landlords will be required to provide information about themselves, the property and the tenancy including:

  • Landlord details and contact information.
  • Property details, tenancy and rent information.
  • Licensing information including HMO, additional or selective licensing where applicable.
  • Key compliance details, including gas safety records, electrical safety certificates and Energy Performance Certificate (EPC) information.

Landlords will be required to pay an annual registration fee of £65 per property.

When will the new requirements apply?

The rollout timetable below sets out when registration will become mandatory in each region.

Landlords will be able to register before these dates if they wish. This may be particularly helpful for landlords with properties in multiple regions who would prefer to register their properties all at once.

Landlords should be reviewing their portfolios now to ensure that tenancy information, licensing records, safety certificates and other compliance documentation are accurate and up to date. The Local Authority will have the ability to impose fines of up to £7,000 per property on landlords who fail to comply with registration requirements.  

The registration deadlines are key compliance checkpoints. Taking proactive steps now will help ensure a smooth registration process when the PRS Database is rolled out.
